Mid-Ohio Aggregates, LLC is excited to announce an opening as a Dispatcher at the headquarters in Orrville, OH. Mid-Ohio Aggregates is currently seeking a self-motivated and dependable full-time Dispatcher to act as the first point of contact for all customers, coordinate truck brokers, manage accounts receivables, and support Mid-Ohio Aggregates teammates at Orrville Trucking and Gradings. Candidates will have experience in customer service, order management, and be comfortable with technology. Experience within the mining or construction industry, dispatching, or coordinating truck brokers is a plus.
Schedule: Monday through Friday (day shift), Saturdays (during busy season)
Requirements:
Every Minute Counts: Efficient Dispatching
- What does winning look like: Timely delivery of aggregate with minimal delays and optimal route planning.
- What does it take:
- Regularly assess and update driver schedules based on real-time traffic and delivery needs.
- Communicate effectively with drivers to ensure they understand their routes and any changes.
- Monitor delivery times and adjust future schedules based on performance data.
Be One Team: Collaboration with Yard Managers
- What does winning look like: Seamless coordination with pit managers leading to efficient day-to-day operations.
- What does it take:
- Schedule regular check-ins with pit managers to discuss material inventory.
- Share daily agendas and any changes in broker availability or delivery times.
Customer Obsession: Customer Communication
- What does winning look like: High levels of customer satisfaction achieved through proactive and clear communication regarding delivery orders.
- What does it take:
- Respond promptly and professionally to customer inquiries and concerns over the phone, providing solutions when possible.
- Clearly enter and confirm orders into the system to avoid mistakes.
- Confirm orders and update customers on order status, expected delivery, and any changes, including outstanding orders.
- Utilize customer feedback to improve service quality and address common issues
Be a Problem Solver: Order Scheduling
- What does winning look like: A well-organized and accurate daily schedule for all aggregate pick-ups and deliveries.
- What does it take:
- Utilize scheduling software to manage and visualize orders for the day.
- Provide clear instructions to customers and brokers about daily schedules and expectations.
- Continually review and adjust schedules as needed based on order volume and broker availability.
Do What You Say, Say What You Do: Timely Accounts Receivables Procedures
- What does winning look like: Efficient and timely processing of customer invoices daily and statements monthly, while effectively collecting payments.
- What does it take:
- On-board new customers by completing reference and credit checks and ensuring accurate contact information.
- Collect payments from customers, both in person and over the phone.
- Reconcile accounts receivable regularly to identify overdue payments. Send reminders or follow-ups for overdue invoices to ensure timely payment.
- Report daily or weekly on payment statuses to management.
- Prepare and send invoices within 24 hours of services with accurate and complete invoice details.
Job Requirements
Required Qualifications
- Minimum of high school diploma / GED.
- Minimum of 1 years’ experience in a customer-facing role.
- Interest or prior experience in dispatching and/or coordinating truck brokers.
- Excellent computer skills, including proficiency in Microsoft Excel.
Preferred Qualifications
- Preferred experience in accounts payable, accounts receivable, or general accounting role.
